Using Office 365 to create engaging content


It’s no secret that the adoption of Office 365 has spread like the next best thing since sliced bread.

The platform now boasts over more than 100 million active users across the globe, and with good reason. The many uses of Office 365 have empowered individual, teams – entire organizations – to collaborate and drive them towards lasting success. One of those uses is leveraging Office 365 to create and share dynamic training content. The beauty of creating content in Office 365 is that you don’t need to be an expert in IT. Your HR manager, head of marketing, director of sales – they can all comfortably create the training they need to lead their department to success. We’ve found our customers have used a variety of Office 365 apps part of the business suite to support training in the following four ways:

Planning for success

In this day and age being proactive can be the difference between a make or a break for a company. Planning ahead is therefore crucial, and this holds true for training as well. The Office 365 Planner allows you to do just that. Whether you’re looking to implement new training or re-vamping existing courses you can use the planner to schedule the rollout of specific courses and support your transitions. You’ll most likely be needing content and input from all different departments and resources and the Planner will help manage that collaboration. Ensure action items get completed and deadlines are met by assigning tasks and share these within your Teams environment for added collaboration and feedback.

Creating engaging learning content

Keeping learners engaged is often the biggest challenge we come across in conversations with our customers. Often, they’re provided information in lengthy emails or plain Word documents that fail to maintain a learner’s attention. With the Sway app that’s no longer an issue. No worries, PowerPoint Designer will help suggest ways in which you can make content look more appealing to the viewer. Furthermore, the new PowerPoint allows you to add video, audio recordings and screen recordings so there is no need to bore your staff with lines and lines of text.

Sharing Content with the team or individuals

Most of you are probably familiar with SharePoint Online – and if not, you should be! LMS365 is built on top of SharePoint Online and for good reason. As stated in its name, SharePoint can act as the single point in your organization to share all pertinent content. You no longer need to sit in the same room or email a document back and forth for edits. In SharePoint you can work on the same content at the same time, from anywhere. Share content in various stages, whether a first draft or the end-product and make it available across the enterprise. SharePoint lets you build team sites and document libraries that will make it easy to share relevant training content with the right people.

Building off of SharePoint is Microsoft’s latest and greatest creation: Teams, the chat-based workspace in Office 365. Since its inception just one year ago Teams has grown significantly in both new capabilities and customer usage. Today, 200,000 organizations in 181 markets and 39 languages use the collaborative platform. Why? Because it combines the best of all worlds. Teams allows companies to build virtual conference rooms where employees can leverage tools like SharePoint to share content, socialize in chat, conduct meetings and conference calls, and utilize the entire variety of apps that Office 365 has to offer all in one place. For example, Some of the most popular apps among Teams customers include Adobe Creative Cloud, Hootsuite, InVision, Polly, SurveyMonkey, Trello, Wrike,, and many others.

Measuring and reporting the success of training

The final step to successful content creation is the opinion that matters the most – the opinion of your learners. To see how impactful the content you’re creating is it’s important to include quizzes, surveys and polls throughout. Not only will this help you gauge whether certain skill points resonate, but it also helps keep learners engaged. Furthermore, feedback surveys and polls can help you to develop your content to better fit your learners’ needs. Maybe there is something they’d like to see more or less of. All of this can easily be done with the Microsoft Forms app. With it you can create, assessments surveys, quizzes, and polls, and easily see results as they roll in. Like all of the apps Office 365 has to offer, Forms and their results can be accessed on any web-browser and on mobile devices as well.
